This module allows for the full online booking functionality suitable for different event types such as conferences, or holidays. Events can be published with restricted access through an event / holiday code log-in, and registration.
Content can be made available online pre and post event. And community features can be tied in for example to enable networking between event attendees.
All key customer attributes will be accessible via a search interface within the admin system. Administrators will have the ability to add new customers and edit existing customer details. All existing customer bookings will be accessible directly from the customer profile interface.
From within the ‘booking’ interface all key attributes will be accessible (e.g. customer, payments etc). Customer details will be accessible directly from the booking summary interface. Additionally where a ‘group’ booking has been made user details will be accessible from within the booking interface. Full booking and option selections will be accessible from within the customer booking summary, allowing for the efficient management of bookings from within a single interface.
Event / Course Options
Administrators will have the ability to add any number of options to an event / course (with or without supplementary costs associated i.e. free options can be added). All options can have a cost and sale price to enable accurate financial reporting. For every group of options supporting descriptive text can be added for the user to learn more at the point of purchase and to ensure the checkout process is as effective as possible. Options can be set as compulsory selections i.e. where a user must fill in the field / make a selection.
The ability to enable and configure staged payment options is possible. This will allow for customers to pay a minimum deposit and then make remaining balance payments according to the rules and timeline required. Balance due reports will allow for the management of outstanding payments. Auto-billing can be set up without user interaction to ensure that instalments are processed as required. Additionally payment reminders and e-mail notifications can be automated according to the staged payments timeline. A variety of accepted payment methods can be applied universally or for specific events / conferences.
Discount / Premium management
Discounts can be added to a booking as a fixed value or percentage. These discounts can be automated based on a time before booking deadline, or by entering a discount / promotional code. Loyalty discounts can be set up according to customer status, and referral discounts can be managed for example on a pyramid model (1 person referred = x% discount, 2nd person referred = y% discount....).
Cancellations and Refunds
The system allows for cancellations and refunds to be processed either for entire bookings or for individual options. Events or options that can be cancelled directly by the customer on the front end can be controlled to minimize administrative resource where possible.
Administrators will have the ability to create report templates for all key data types, templates can be stored for reports and reports can be exported in CSV and XML format as required. For example, delegate lists; option lists; office reports; aged debtors; outstanding balance report; discount reports; failed transactions etc...
